Step 1: Gather information about your company, bank, and CEO

To know how to verify direct deposit in QuickBooks desktop for your business, you will need the following information – 

  • The company’s name, address, and EIN
  • CEO’s social security number, birth date, and home address 
  • Routing and account numbers, also known as online banking credentials, are required. 

Step 2: Link with your bank account 

  • Enter the QuickBooks admin username and password to log in
  • After selecting Employees and My Payroll Service, turn on Direct Deposit

Then, select Get Started. If you can’t find the Get Started button, try the following steps: 

  • At first, select I am the administrator and enter the administrator’s email address or user ID
  • Then, select Continue
  • After entering your Intuit Account’s email address or user ID and password, click Sign In. If you don’t already have an Intuit account, click on Create an account connection.
  • If you have already signed into your Intuit Account in QuickBooks elsewhere, you won’t see this screen.
  • Finally, select Get Started
  • Click Start on the Business tab and fill out the form. 
  • Click on Next 
  • Now, fill in the details with the information for the Principal Officer and select Next 
  • You can also add a new bank account 
  • After selecting your bank, enter your online banking credentials or, if prompted, your bank routing and account numbers. 
  • Create a unique PIN for yourself
  • After double-checking your PIN, hit Submit 
  • Next, the options are Accept and Submit. 
  • Lastly, confirm the Principal officer’s total social security number, if asked and click on Submit

Step 3: Double-check Your Bank Details 

  • In 2 business days, check your bank account for a small debt of less than $1 from Intuit QuickBooks Payroll.
  • Once you’ve seen the number, open QuickBooks and sign in as the QuickBooks Admin.
  • Select Employees, My Payroll Service, and Activate Direct Deposit from the drop-down menu.
  • After that, log in to your Intuit account. 
  • Then, click on verify after entering the debit number twice
  • For Payroll, enter your PIN and then click on Submit, followed by Ok 

Step 4: Reimburse your employees 

After setting up your direct deposit, customize your paychecks as usual, then direct deposit them to Intuit. Within two business days, paychecks are deposited into employees’ bank accounts. 

Step 5: Get A Direct Deposit Authorization Form

QuickBooks Desktop Payroll – 

Obtain a completed Direct Deposit Authorization form from the employee’s bank account, along with a canceled check. You don’t need to submit the authorization form or the canceled check to QuickBooks Desktop. 

QuickBooks Online Payroll – 

  • Select Payroll Tax from the Taxes menu
  • Then, select Employee Setup
  • After that, select Bank Verification when you get to Authorization for Direct Deposit
  • Next, choose View and then Print

Enhanced Intuit Online Payroll – 

  • Select Employee & Contractor Setup from the Taxes & Forms menu 
  • Then, select Bank Verification from the drop-down menu 
  • Now, click View and then Print

Full-Service Intuit Online Payroll – 

Obtain a completed Direct Deposit Authorization form from the employee’s bank account along with a canceled check. 

Step 6: Set Up Direct Deposit For Your Workers

After completing the previous steps, the next paycheck you create for the employee will be a direct deposit. Select your Payroll for the following steps. 

QuickBooks Online Payroll – 

  • Go to Payroll and select Employees 
  • Then, choose the employee’s name and click on Edit 
  • Under the “How do you want to pay this employee?” option, select how the employee wants to receive their pay from the drop-down menu 
  • Select done after entering the routing and account numbers from the employee’s canceled check.

QuickBooks Desktop Payroll – 

  • To view your employee list, go to Employees and then Employee Center
  • Then, select employee’s name
  • Choose Payroll Info tab and then click on Direct Deposit button
  • In the Direct Deposit window, select Use Direct Deposit 
  • Choose whether your paycheck should be deposited into one or two accounts
  • Now, fill in the financial institution information for the employee
  • Then, click OK to save the information 
  • When prompted, enter your direct deposit PIN
